We are seeking a proactive and professional Administrator to join our busy admin team. The successful candidate will be responsible for delivering an efficient, courteous, and high-quality administration and appointment service, supporting both clinical and operational teams.

Key Responsibilities:
- Handle incoming calls, resolving queries promptly and professionally while ensuring accurate booking and record-keeping in line with clinic policies.
- Proactively manage outbound calls, including appointment scheduling.
- Communicate effectively with eg with medical personnel, patients, local trusts, GPs
- Accurately record and respond to messages in a timely and professional manner.
- Liaise with internal departments to ensure smooth clinic operations.
- Prepare and manage clinic files, ensuring all relevant documentation is available.
- Assist with patient recalls and contribute to the preparation of weekly Trust reports.
- Type and process clinical correspondence from audio dictation, ensuring timely completion of follow-up actions.
- Maintain effective filing systems.
- Provide reception break cover daily.
- Support private practice management functions as needed.
- Work within our sister clinic (Hillsborough Private Clinic) as and when required
Requirements
Essential Criteria:
- Minimum of 1 years’ experience in an administrative or similar role
- Excellent communication and interpersonal skills, both written and verbal.
- Strong typing and general IT skills (including Microsoft Office)
- Strong organisational skills
- Excellent telephone manner and customer service skills
- High attention to detail and ability to maintain accuracy
- Ability to handle confidential and sensitive information with discretion.
- Team player with the ability to work independently using their own initiative.
- Flexible, can-do attitude with a willingness to support colleagues as needed
- Able to work evenings/weekends as required
Desirable:
- Experience working in a healthcare environment.
